Secretary Needed

Humanity Auxilium is a charitable organization dedicated to serving people in need around the world.  We  partner with global charitable organizations on the ground to  provide medical relief  in conflict zones, in refugee camps and in areas of natural disaster. 

 

The Secretary plays a critical role by managing administrative tasks and general communications.  They are often the first point of contact for our partners, volunteers and stakeholders.  Duties include answering email, scheduling international conference calls, taking minutes, maintaining records.

 

This is a part-time role – 20 hours/week.

What We Are Looking For

Essential Duties:

  • Manage all communication between Executives, volunteers, and stakeholders in a professional and timely manner.

  • Manage company social media accounts including Instagram, Twitter and Facebook

  • Develop and maintain grant calendar for the organization.

  • Keep, track and organize all Humanity Auxilium records and related materials

  • Schedule board and executive meetings and ensure an adequate number of meetings are held per year.

  • Prepare and send meeting materials in advance to each Executive member to review, correcting any errors, and preparing questions and comments.

  • Timely organization and distribution of materials such as agendas and meeting minutes.

  • Assist with event planning such as virtual speakers series.

  • Maintain a list of relevant resources and community contacts.

 

 

Qualifications:

  • 2 year + experience

  • Excellent written and oral communication skills.

  • Knowledge of social media platforms

  • Strong organizational skills to maintain records and file important documents effectively

  • Ability to work collaboratively with various team members.

  • Ability to solve administrative problems without supervision.

  • Excellent typing and note-taking skills. 

  • Ability to switch between tasks easily when priorities shift.

  • Knowledge of basic computer programs such as Microsoft Office, Google Docs and Zoom.  

  • Experience working in the social service sector is desirable.
